Private Medical Secretary to Plastics Consultant Surgeon
Job Details
**The Role:**
We are looking for an experienced, reliable and highly organised **freelance Private Medical Secretary** to provide remote administrative support to a busy **Plastics Consultant Surgeon** across multiple private hospital clinics each week.
This is a part-time role, with the successful candidate taking over the day-to-day secretarial and administrative responsibilities currently managed by our existing secretary. The existing secretary will remain involved and available to assist with the transition and provide ongoing support where required.
The role would suit someone with previous medical secretarial or private healthcare experience who is confident dealing directly with patients, consultants, GPs and hospital teams, and who can work independently and proactively.
Key Responsibilities
– **Answering telephone calls during the working day**, acting as a professional and helpful first point of contact for patients and other healthcare professionals.
– Managing **patient enquiries by telephone and email**, responding promptly and appropriately.
– Providing patients with information and **estimates of consultation, procedure and treatment costs**, where appropriate.
– **Booking, changing and cancelling appointments**, liaising with patients, hospitals and the consultant as required.
– Dealing with enquiries relating to consultations, procedures, follow-up appointments and general patient administration.
– **Typing dictated letters and correspondence** accurately and promptly.
– Preparing and sending clinic letters following consultations.
– Liaising with hospital secretaries, consultants, nursing teams and other hospital departments to ensure information is communicated efficiently.
– Maintaining accurate and confidential patient records and administrative information.
– Handling general day-to-day administration associated with running a busy private surgical practice.
– Identifying and dealing with any other administrative requirements that arise, using initiative and common sense.
– Maintaining a high standard of confidentiality at all times in accordance with UK GDPR and data protection requirements.
**About You:**
We are looking for someone who is:
– Experienced in medical secretarial, private healthcare or consultant-level administrative work.
– Highly organised, reliable and able to manage their own workload.
– Confident answering the telephone and speaking with patients in a professional, friendly and reassuring manner.
– An excellent written communicator with a good standard of spelling and grammar.
– Accurate and efficient when typing dictated letters and correspondence.
– Comfortable using Microsoft Word, email and online systems.
– Able to deal confidently with sensitive and confidential medical information.
– Proactive, with the ability to anticipate what needs doing rather than waiting to be asked.
– Comfortable working independently while maintaining regular communication with the consultant.
– Flexible and able to prioritise when several enquiries or tasks require attention at the same time.
– Professional, approachable and able to build a good rapport with patients and healthcare professionals.
Previous Experience:
Previous experience as a medical secretary would be highly desirable. Experience within plastic surgery would be advantageous but is not essential.
Experience using TrakCare would be advantageous.
**Working Arrangements:**
This is a **freelance, part-time position**, primarily supporting two clinic days per week at two different private hospitals.
A key requirement is that the successful candidate is available to **answer telephone calls during the working day**, as well as monitor and respond to email and web enquiries.
The exact working pattern and hours can be discussed with the successful applicant. There may also be some flexibility around when certain administrative tasks, such as typing and correspondence, are completed, provided that patient enquiries and time-sensitive work are dealt with promptly.
The role offers the opportunity to become an integral part of a busy private surgical practice, working closely with the consultant while having the ongoing support of the existing secretary to work as a team.
